The Challenge

The COVID-19 pandemic significantly changed the way that the NHS have used digital capabilities. In Therapies within Cardiff & Vale, this increased dependence on electronic systems and virtual treatment highlighted capability gaps – both in terms of individual ability, systems, technology and the organisation’s ability to grow it’s digital maturity. 

After conducting an initial, high-level digital maturity review, Q5 were asked to mobilise the digital transformation across the CaV Therapy community. Working with 60+ stakeholders across the 5 Therapy Professions, we designed and launched the Digital Therapies programme.

Our Approach

Initial Assessment and Design:

  • 1:1 interviews with key stakeholders to understand the barriers to digital transformation today and what the programme should strive for
  • Establishment of the Digital Therapies sponsor group and governance across the programme, through which we iteratively defined the themes for each workstream and associated high-level outcomes
  • Co-creation of the 6 workstream, bringing the teams together to create an agreed shape of each of the scope areas, establishing agile ways of working and identifying immediate quick wins to drive value

Mobilisation and Implementation

  • Set-up of regular meeting rhythms to build agility in the delivery of the programme outcomes – creating opportunities to drive pace and to build enthusiasm in the team to come together and deliver – in the backdrop of immovable clinical commitments and significant pressures on the service
  • Set-up of the systems to support agile ways of working, upskilling team leads and workstream members to make best use of technology to communicate velocity, blockers/risks, task completion and progress towards the outcomes expected of the programme
  • Organisation and profession mapping exercise – developing a single source of truth for teams across CaV Therapies, of the organisation and professions. This was needed to be developed from scratch to ensure we covered all areas, supported prioritisation of activities and circumventing digital blind-spots
  • Coordinated development and roll-out of a Digital Baselining Questionnaire, allowing all workstreams to understand the current digital maturity landscape and shape the required improvement programme
  • Creation of key, joint processes with Digital Health and Intelligence to streamline CaV Therapies’ partnership between clinicians on the front line and technical teams
  • Development of integrated 6-month plans to drive long-term sustainable value across the programme

Key Outcomes

  • Robust governance and reporting structure in place – enabling sign-off on key decisions and forums for cross workstream discussions to circumvent duplication
  • Established the programme with it's 6 workstreams actively delivering towards set outcomes, covering system development, interoperability, Office 365, Patient Engagement, Digital Futures, Business Intelligence and Digital Capabilities
  • Established agile ways of working with agreed interfaces with key digital stakeholders
  • Agreed hierarchy maps for all professions, with validated PARIS status overlaid to support prioritisation
  • A baseline of digital maturity, technology usage and capability today
  • Integrated 6-month plans and associated backlogs of workstream tasks to drive value towards overall outcomes​
